Preliminary Questions

The following questions are for experienced Astra authorizers only:

  1. When you're using Astra, what do you most typically need to accomplish?
  2. What other things do you do with Astra?
  3. Is there anything about Astra that you've found frustrating?

Tasks

General scenario:  You are Pat Smith, an Astra authorizer for the Illuminative Studies department. 

Notes: 

-        The "***" separators below indicate points at which the user will be prompted to "wrap up" if he/she has not been committing changes on a per task basis.  The mockup carts are populated as if the user has been leaving authorizations in a pending state.

-        The path to the mockups used in the study is http://isntastra/astraui/v2.0/test1+/+.  Thanks go to Steve Suh for developing the prototype.

1.     Give John (EID 12345678) the following authorizations for the E-Procurement application:

-        Preparer role with Create access

-        Support role with Review access

Ø     Goals:

o      Look up a user by employee ID.

o      Create an authorization for an individual.

o      Create a second authorization for that person.

Ø     Solution Supported by the Mockup:

1.     Log in.

2.     Select Create New Authorization.

3.     Look up John by EID.

4.     Enter values for first authorization.

5.     Click OK and add another.

6.     Enter values for second authorization.

7.     Click OK.

8.     Check out.

2.     Donald Trump has been terminated from his position at UW.  Eliminate his authorizations to the E-Procurement application.

Ø     Goals:

o      Look up a user by full name.

o      Delete that user's authorizations for an application.

Ø     Solution Supported by the Mockup:

1.     Select to View & Edit Authorizations.

2.     Look up Donald Trump by first and last name.

3.     Select to Search for Authorizations Now.

4.     Checkmark the authorizations for deletion.

5.     Select the Delete button.

6.     Check out.

3.     See if Jelana Smith is authorized as a Budget Approver in the E-Procurement application.  (You aren't sure how her first name is spelled.)

Ø     Goals:

o      Look up a user by last name.

o      Verify the user's authorizations for an application.

Ø     Solution Supported by the Mockup:

1.     Select to View & Edit Authorizations

2.     Enter "Smith" and select Find Person.

3.     Click "Smith, Jellanna".

4.     Select to Search for Authorizations Now.

5.     Verify Jellanna's authorizations as requested.

4.     View all the authorizations for the Past View application in organization code 1-23-45-67-010, which is the Reconstructive Visioning division.  Save your search criteria as "Reconstructive Visioning" so that you can create this list again in the future.

Ø     Goals:

o      Retrieve a custom list of authorizations.

o      Save a set of custom search criteria.

Ø     Solution Supported by the Mockup:

1.     Select to View & Edit Authorizations.

2.     Select Advanced Search.

3.     Enter "Reconstructive Visioning" as the Search Name.

4.     In the Person field,  select "All people within selected organization code".

5.     Click the Select link next to the Person field.

6.     Enter the org code and select Search.

7.     Click OK.

8.     Select Past View in the Application field.

9.     Select Save.

10.  Select Search.

11.  View the authorizations.

5.     You need to raise a dollar restriction as it applies to a particular Payroll Unit Code (PUC) - PUC 0331 - in the Acme Money Management application.  Look up the users who have the role Approver, with Approve access, for that PUC.  Ensure that their dollar limit restriction is no less than $3000.  Take care not to reduce anyone's dollar limit.

Ø     Goals:

o      Look up users with an authorization as pertains to a particular PUC.

o      Edit the authorizations of specific users.

o      Experience no confusion due to resulting UI feedback.

Ø     Solution Supported by the Mockup:

1.     Select to View & Edit Authorizations.

2.     Select Advanced Search.

3.     Select ACME Money Managemenet in the Applications field.

4.     Select Approver Role.

5.     Select Approve Access.

6.     Select Payroll Unit Code as Access Restriction Level 1.

7.     Click the Select link below the Access Restriction field.

8.     Enter the payroll unit code and select Search.

9.     Click OK.

10.  Select Search on Advanced Search page.

11.  For Jellanna Smith's authorization, click Edit, raise the dollar limit to $3000, and click OK.

12.  Do likewise for Donald Trump's authorization.

13.  Check out.

6.     See which users in the Reconstructive Visioning division are authorized as Auditor for the Past View application.  Recall that you recently saved a set of search criteria as "Reconstructive Visioning".  Use the saved search to find that division's Auditor for Past View.

Ø     Goals:

o      Use a saved search.

o      Interpret the retrieved authorizations.

Ø     Solution Supported by the Mockup:

1.     Select to View & Edit Authorizations.

2.     Select My Saved Searches.

3.     Select the Reconstructive Visioning search.

4.     Find that Mark Burnett is the Auditor.

7.     Sasha Pest has asked you to give Earnest the following authorization for the Past View application:

  • Role:  Viewer
  • Access:  Read-only

Earnest's UW NetID is ernie.  Give Earnest the requested authorization, notifying Sasha even though she does not normally receive such notifications.  Sasha's UW NetID is spest.

Ø     Goals:

o      Look up a user by UW NetID.

o      Specify a custom notification.

Ø     Solution Supported by the Mockup:

1.     Select Create New Authorization

2.     Look up Earnie by UW NetID.

3.     Select the specified application, role, and level of access.

4.     Click OK to go to the cart.

5.     Click "Proceed to checkout".

6.     Look up Sasha Pest by UW NetID.

7.     Click Check out now.

Wrap-up questions

  1. How satisfied are you with the version of Astra we just looked at?
  2. Was there anything about it that you especially liked?
  3. Are there some improvements you'd like to see?
  4. The version of Astra we just used makes it possible to prepare authorization changes for several people before committing them.  Is that something you would see yourself doing?  If so, how often?
  5. The version of Astra you just saw lets you send notifications of authorization changes to people you specify on a case-by-case.  How likely are you to do use that capability?
