The UW Finance Transformation project recommends the following settings for the best results while using Zoom. Follow this guide the first time you use Zoom and the settings will be saved for subsequent uses.

You can use Zoom Cloud Meetings two ways:

Updating Settings via your Browser

  1. Go to https://washington.zoom.us/ in your browser.
  2. Select the Basic and Pro Account Login button under “Standard Zoom Account.”
    Tip: Your login is your NetID and password.




  3. If you would like to change your personal meeting ID to your phone number, select Profile, then select Edit next to Personal Meeting ID.



  4. Insert the number you would like to use and select Save Changes.
  5. On the left, select Settings, then select Meeting > Schedule Meeting.



  6. Ensure that your Schedule Meeting settings match the following:

    Setting

    On/Off

    Host video

    Participants video

    Audio Type

    Telephone and Computer Audio

    Join before host

    Use Personal Meeting ID (PMI) when scheduling a meeting

    Use Personal Meeting ID (PMI) when starting an instant meeting

    Require a password for Personal Meetings if attendees can join before host

    Generate and require password for participants joining by phone

    Mute participants upon entry

    Upcoming meeting reminder

  7. Select In Meeting (Basic) and ensure that your settings match the following:

    Setting

    On/Off

    Require Encryption for 3rd Party Endpoints (H323/SIP)

    Chat

    Private chat

    Auto saving chats

    Play sound when participants join or leave

    File transfer

    Feedback to Zoom

    Display end-of-meeting experience feedback survey

    Co-host

    Polling

    Always show meeting control toolbar

    Show Zoom windows during screen share

    Annotation

    Whiteboard

    Remote control

    Nonverbal feedback

    Join different meetings simultaneously on desktop

    Allow removed participants to rejoin

    Screen sharing

    Allow participants to rename themselves

  8. Select In Meeting (Advanced) and ensure that your settings match the following:

    Setting

    On/Off

    Breakout room

    Closed captioning (box should be checked)

    Identify guest participants in the meeting/webinar

    Auto-answer group in chat

    Only show default email when sending email invites

    Use HTML format email for Outlook plugin

    Allow users to select stereo audio in their client settings

    Allow users to select original sound in their client settings

    Screen sharing

    Attention tracking

    Waiting room

    Show a "Join from your browser" link

    Allow live streaming the meetings

  9. At the top of the page, select the Recording tab.



  10. Ensure that your Recording settings match the following:

    Setting

    On/Off

    Local recording

    Automatic recording

    Auto delete cloud recordings after days

    Recording reminder

    Multiple audio notifications of recorded meeting

  11. At the top of the page, select the Telephone tab.



  12. Ensure that your Telephone settings match the following:

    Setting

    On/Off

    Show international numbers link on the invitation email

    Toll Call

    3rd Party Audio

    Mask phone number in the participant list

    Global Dial-in Countries/Regions

    United States

Updating Settings via the App


  1. After downloading, launch the Zoom app from your computer.
  2. Select the Sign In button.

    Tip: Your login is your NetID @uw.edu and password.

    Tip: Your login is your NetID @uw.edu and password.



  3. Your browser will prompt you to launch Zoom. Select the Open Zoom Meetings button on the pop-up.



  4. Select the cog icon on the right to open the Settings menu.



  5. Under the General tab, you can change the skin tone reaction. Then select the View More Settings link at the very bottom. This will open up a new tab in your browser. Continue from Step 3 under Updating Settings via your Browser.
